Barbershub is booking software for barbershops. This covers the Barbershub staff app for iOS and Android, the booking page your customers use, and the dashboard shops sign in to.
It is written to be read. Where something is a judgement rather than a fact, it says so.
Barbershub is operated by Vibex Technologies (Private) Limited, Zimbabwe.

This matters more than anything else here, so it comes first.
If you are shop staff — an owner, a manager or a barber using the staff app — Barbershub holds your account details and we are responsible for them.
If you are a customer of a barbershop — someone who booked a haircut — your name and phone number were given to that shop, not to us. The shop decides what happens to them. We store and process them on the shop's behalf, under their instruction. If you want your details changed or removed, ask the shop; if you would rather ask us, we will pass it on and tell you we have.
In the language of data protection law, the shop is the controller and we are the processor.
| What | Why |
|---|---|
| Name, email, role, which chair you work | To sign you in and decide what you may see |
| A one-way hash of your password | So we can check it without ever storing it |
| A push token for your phone | So we can tell you a customer has booked |
| Which shop you belong to | Every screen and every request is scoped to it |
| What | Why |
|---|---|
| Name and phone number | So the shop knows who is coming, and can tell you if something changes |
| Your bookings — when, what, with whom, what was paid | It is the shop's diary and its record of takings |
| WhatsApp messages we sent you about a booking, and whether they arrived | So the shop can see whether you were actually told |
Photographs of their work, service names and prices, opening hours, and the names of their staff.
Three, and only three.
Google Firebase Cloud Messaging delivers push notifications to staff phones. It receives the notification's text — for example "New booking: Tapiwa Moyo, 14:30" — and the address of the handset. It is the one place a customer's first name may leave our servers, and it is there so a shop finds out about a booking within seconds.
Gupshup delivers WhatsApp messages to customers about their own bookings, where a shop has switched that on. They receive the phone number and the message.
Hetzner hosts the servers, in Finland. They hold the encrypted disks the data sits on.
Each is used for one job. None of them is given data for their own purposes.
Data is held in Finland, on servers we control. Zimbabwe is not the location of the data; the company operating it is Zimbabwean.
| What | Kept for |
|---|---|
| Bookings and takings | As long as the shop keeps its account — it is their business record |
| Staff activity notifications | 90 days, then deleted automatically |
| Sign-in sessions | 30 days, or until you sign out |
| Photographs | Until the shop deletes them |
| A closed shop's data | Deleted within 90 days of the account ending |
Connections use HTTPS. Passwords are hashed, never stored. Sessions expire and can be ended from any device. Each shop's data is separated at the database level, and a request carrying one shop's credentials cannot read another's.
Inside a shop, what you can see depends on your role: a barber sees their own chair and never sees a figure, and that is enforced on our servers rather than merely hidden in the app.
We would rather not claim more than that. No system is beyond reach, and a policy promising otherwise is not telling the truth.
You may ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Write to privacy@vibextech.co.zw and we will answer within 30 days.
If you are shop staff you do not have to write to anybody: you can delete your own account from inside the app, and that page says exactly what goes and what the shop keeps.
If you are a barbershop's customer, see the two relationships above — the shop holds the decision, and we will help you reach them.
Depending on where you live you may also have the right to complain to a data protection authority.
Barbershub is for people running a business. It is not directed at children, and we do not knowingly hold data about anyone under 13. A child's haircut booked by a parent carries the parent's details, not the child's.
If this policy changes in a way that affects you, we will say so in the app before it takes effect. The date at the top always shows the current version.
